Please note that the City of Aurora will conduct ongoing screenings of applications on a first-come, first-served basis. As soon as a qualified pool of applicants is determined, this position may be closed without notice.<br><br></strong></em>This is a<strong> temporary, part-time (approximately 20-25 hours per week) </strong>VHNE position anticipated to last six (6) to nine (9) months. The Probation Administrative Specialist performs a variety of general clerical duties to support the operations of the Probation function of the Municipal Court.<br><br><strong><strong>PRIMARY DUTIES & RESPONSIBILITIES <br><br></strong></strong><ul><li>Maintains record-keeping systems; opens case files</li><li>Proofreads, keys, and processes a variety of correspondence, reports, and documents</li><li>Serves as a receptionist</li><li>Answers/directs questions/inquiries by telephone or in person and schedules initial appointments with Probation Office</li><li>Operates a variety of office equipment</li><li>Is cross trained in all clerical positions within department</li><li>Issues and collects client forms and information</li><li>Provides procedural information regarding court stipulated classes, counseling, and community service work</li><li>Gathers/inputs court stipulations and other information into computer system</li><li>Receives and processes client forms, referrals, and community service timesheets</li><li>Processes and creates new probation clients’ files</li><li>Sends discovery to prosecution</li><li>Trains new employees and interns as necessary</li><li>Performs additional duties as assigned</li><li>Will handle CJIS related information.<br><br></li></ul>This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee. Duties, responsibilities and activities may change, or new ones may be assigned at any time with or without notice.<br><br><strong><strong>MINIMUM QUALIFICATIONS & WORKING CONDITIONS<br><br></strong></strong>An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.<br><br><strong>Education:<br><br></strong><ul><li>High School Diploma or GED<br><br></li></ul><strong>Experience:<br><br></strong><ul><li>Two (2) years of administrative support experience with heavy public contact. Court or probation experience preferred.</li><li>Data entry experience<br><br></li></ul><strong>Licenses And Certifications:<br><br></strong><ul><li>Criminal Justice Information Systems (CJIS) certification required within six (6) months of hire. </li><li>NCIC / CCIC Certification may be required <br><br></li></ul><strong>Knowledge Of:<br><br></strong><ul><li>Probation and court terminology</li><li>Basic office practices and procedures</li><li>Advanced business English, math, and spelling</li><li>Computer operation with various software applications to include Microsoft Word, Excel, Outlook and Versadex.</li><li>Advanced knowledge of Access Control or similar security systems<br><br></li></ul><strong>Skills In:<br><br></strong><ul><li>Efficiently and accurately key information using a keyboard and skill in performing data entry</li><li>Strong interpersonal, analytical and organizational skills</li><li>Typing and keyboarding skills</li><li>Performing data entry</li><li>Composition, grammar, and spelling</li><li>Demonstrates proficiency in personal computer applications, including word processing, spreadsheets, report generation and maintenance of databases</li><li>Must have a working knowledge of MS Word, Excel, PowerPoint and Outlook<br><br></li></ul><strong>Abilities To:<br><br></strong><ul><li>Work in the probation environment</li><li>Maintain establish and maintain effective working relationships with employees and citizens</li><li>Communicate effectively both verbally and in writing</li><li>Understand oral and written instructions</li><li>Handle stressful situations with tact and diplomacy</li><li>Work well under pressure and meet deadlines with little supervision</li><li>Draft, edits, proofreads and prepares correspondence, works well independently</li><li>Maintains confidentiality of work</li><li>Understand, interpret and apply department or division policies and procedures</li><li>Plan, organize and prioritize work assignments</li><li>Maintain a community-oriented/problem solving approach to the work environment<br><br></li></ul><strong>Essential Personnel:<br><br></strong><ul><li>When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.</li><li>This position requires your duties to be performed in person. It is not eligible for remote work except as directed by the Court Administrator. </li><li>Incumbent must have the ability to work any hours Monday – Friday 7:00 a.m. to 6:00 p.m.<br><br></li></ul><strong>Physical Demands:<br><br></strong><ul><li>Light physical work lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds</li><li>Occasional lifting, carrying, walking, and standing</li><li>Frequent hand/eye coordination to operate computer terminal and other office equipment</li><li>Vision for reading, recording, and interpreting information</li><li>Frequent speech communication and hearing to maintain communication with employees and citizens.<br><br></li></ul><strong>Work Environment:<br><br></strong><ul><li>Essential duties performed primarily in an indoor office, public area setting</li><li>This position requires your duties to be performed in person.
