Job Summary

We are seeking an experienced Administrative Assistant to provide administrative support to the Superintendent, Director of Teaching and Learning, and School Board. The successful candidate will have a strong ability to work independently, prioritize tasks, and manage multiple projects simultaneously. This is a remote opportunity, and we are looking for someone who is self-motivated, organized, and able to work effectively in a virtual environment.

Key Responsibilities

  • Serve as the clerk to the school board, preparing board agendas and packets for meetings, taking minutes of board and other committee meetings, and transcribing, preparing, and distributing meeting minutes.
  • Greet visitors, citizens, and customers; answer telephone calls; provide information; forward calls to the appropriate party; and assist the public with the completion of records, applications, etc.
  • Manage the school board levy referenda election procedures, recruit judges, arrange for absentee ballots, and report results to the county auditors, superintendent, and school board.
  • Maintain district policies and ensure that procedures are established for dissemination of new policies; coordinate and attend policy meetings; and record minutes.
  • Assist with a wide variety of fiscal information for the superintendent and teaching and learning departments; monitor account balances and related financial activity; and reconcile account balances as assigned.
  • Plan and schedule time, facilities, and equipment/services for meetings, workshops, special events, receptions, etc.
  • Provide historical information related to school board agendas, official activities, and decisions.
  • Maintain appointment calendars; process registration and payments for school board members, superintendent, teaching and learning departmental staff, and staff attending conferences, trainings, and/or meetings.
  • Complete special projects and reports for departmental staff; compile statistics and gather data as requested by departmental staff.
  • Maintain the MDE website as the Identified Official Authority for MDE Secure Websites.
  • Maintain Home School files and database; send out annual notices and communications.
  • Assist with civil rights data collection and reporting responsibilities.
  • Assist with in-district nonpublic schools on ESEA budgets and activities.

Essential Qualifications

  • Bachelor's degree in business administration, communications, organizational development, education, or a similar field.
  • Three to five years of experience working in a fast-paced, professional office environment providing administrative support.
  • Thorough experience working in Microsoft Office and Google Suite, specifically Word, Excel, Docs, and Sheets.
  • Knowledge of school district policies, procedures, and guidelines.
  • Knowledge of laws, including the Pupil Fair Dismissal Act, Open Meeting Law, MN Governmental Data Practices Act, and related data privacy laws.

Preferred Qualifications

  • Experience working in an educational setting.
  • Knowledge of parliamentary procedure and Robert's Rules of Order.
  • Thorough skills collecting and disseminating data to support programming needs.
  • Thorough skill creating, analyzing, and interpreting standard correspondence.
  • Ability to make arithmetic computations using whole numbers, fractions, and decimals.

Compensation and Benefits

The salary for this position is $63,536 per year, with a 260-day contract. We offer a range of benefits, including health, life, and disability insurance, as well as a generous retirement package.
