About Our CEO

Key Responsibilities

As the CEO's Right Hand, you'll play a critical role in supporting James and ensuring the smooth operation of our business. Your responsibilities will include:

  • Interfacing with James multiple times a day via phone, video chat, and Microsoft Teams
  • Managing and prioritizing James' incoming and outgoing email using Office 365
  • Coordinating James' calendar and scheduling appointments, meetings, and events
  • Assisting in planning and preparing presentations, reports, and other documents
  • Attending video conference calls and taking notes, focusing on next actions for each participant
  • Receiving and screening phone calls and redirecting them when appropriate
  • Creating regular reports and updating internal databases
  • Making travel arrangements and maintaining electronic and paper records
  • Acting as a point of contact between James and employees/clients
  • Facilitating internal communication and handling confidential documents
  • Tracking and updating projects in Microsoft Planner/To Do
  • Reviewing and recommending changes to our company's standard operating procedures and policies
  • Conducting research and preparing presentations or reports as assigned

Requirements and Qualifications

To be successful in this role, you'll need:

  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant, or similar role
  • Solid experience with office management systems and Microsoft Office 365
  • Strong communication skills (via phone, email, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Integrity and confidentiality
  • Degree in business administration or related field/related experience

Preferred Qualifications

We'd love to see:

  • Previous experience as an Executive Assistant and Project Manager
  • Familiarity with office management technologies and virtual tools
  • Strong research skills and ability to prepare presentations or reports
  • Fluency in the ever-evolving Microsoft Office 365 platform, including Microsoft Teams and Microsoft To Do
  • High competence and comfort with virtual technologies
