Highland One World is a small yet dynamic educational charity based in Inverness, dedicated to promoting social justice and sustainability through Global Citizenship Education. As a charity, we are managed by a Board of Trustees and a small team of staff led by the HOW Coordinator, who work collaboratively to drive our vision forward.

About the Role

We are seeking an experienced and highly organized Administrative Officer to join our team on a part-time basis. As an Administrative Officer, you will play a vital role in providing administrative support to our team, Trustees, and the effective day-to-day running of the organization. This is an excellent opportunity for a detail-oriented and proactive individual to make a meaningful contribution to our charity and gain valuable experience in administration.

Main Responsibilities

  • Ensure the secure and effective organization and storage of all administrative documentation relating to Highland One World and its projects, in compliance with GDPR regulations
  • Perform administrative tasks associated with the day-to-day running of the organization, including ordering, making online payments, coding and scanning invoices, updating documents, responding to emails, occasional note-taking at meetings, and other ad-hoc tasks
  • Support the maintenance and development of the Highland One World and Signposts resource libraries, including database and resource loan management and occasional website updates
  • Provide occasional administrative support to the Trustees, including setting up meetings, distributing agendas, taking minutes, and managing other board-related documentation
  • Manage and update databases with required project information, ensuring that data reporting requirements for projects are fulfilled in a timely manner
  • Provide administrative support to the team for project activities/events where required
  • Attend occasional online meetings with administration staff from other Development Education Centres in Scotland when required
  • Be an active member of the Highland One World team, demonstrating a willingness to support the team when needed, attending team meetings, occasional events, and away days as required

Essential Qualifications and Skills

To be successful in this role, you will require:

  • Previous experience in an administrative role, preferably in a charity or educational setting
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Strong attention to detail and accuracy, with a high level of proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook
  • Ability to work independently and as part of a team, with a flexible and proactive approach to work
  • Good communication and interpersonal skills, with the ability to build strong relationships with colleagues, Trustees, and external stakeholders
  • Basic knowledge of GDPR regulations and data protection principles

Preferred Qualifications and Skills

While not essential, the following qualifications and skills would be desirable:

  • Experience of working with databases and resource management systems
  • Knowledge of website management and updates, particularly using content management systems
  • Experience of supporting Trustees or governing bodies, including minute-taking and agenda preparation
  • Basic accounting knowledge and experience of financial administration, including invoicing and expense management
  • Qualifications in administration, business, or a related field, such as a diploma or certificate in business administration

Work Environment and Company Culture
