We develop positive relationships that have a direct and lasting effect on the lives of young people. Position Purpose The Project Coordinator is a direct report of the Director of Foundation Grants. They will support Big Brothers Big Sisters of America’s national office Program & Impact team with excellent coordination and administration of corporate and foundation grants. In this role they will effectively manage timelines, lead the coordination of internal and external meetings, document lessons learned and summarize progress across a portfolio of projects (grants of various sizes) toward the completion of deliverables and advancement of strategic priorities. This work includes working collaboratively across all BBBSA departments to ensure the Big Brothers Big Sisters network of 230+ agencies effectively manage grants from corporate and private foundations. The Project Coordinator will be responsible for writing and submitting reports and other information requested by key stakeholders. Travel: Less than <15% Location: Full-time Remote, U.S. People Manager: No Essential Duties and Responsibilities Project/Grant Coordination • Provides project management supports to the Program & Impact team in establishing project overviews, timelines and tracking key tasks through Asana or other project management systems • Coordinates meetings within the Program & Impact team, across various departments and with external stakeholders (agency leaders, consultants, etc.) • Distributes documents, information, instructions, and other resources to ensure both internal and external stakeholders have tools and resources to be effective • Documents progress against project plan, updates leaders and identifies implications for the overall project and connections to other ongoing projects/grants • Adjusts schedules, updates project plans and elevates potential challenges • Makes recommendations on solving challenges to ensure projects stays on target • Works closely with and across BBBSA departments in monitoring and documenting of progress toward goals, receipt of deliverables, and other project performance-related matters Stakeholder Coordination • Serves as a primary point of contact for projects when multiple units are involved with the same project to ensure effective and synergistic team actions • Communicates consistently and clearly with Project Leads, team members, and other key stakeholders to keep the project on track • Proactively identifies potential stakeholders for involvement in projects and recommends when and how others can make meaningful contribution to a project’s success • Directly supports staff involved to ensure that the project is completed, on time, on budget and to the satisfaction of funder expectations • Provides support and consultation to all BBBSA agency grantees relative to grant compliance, deliverables, measures of success/performance goals • Offers high-level customer service and customer focused problem-solving that builds trust, and ensures more effective project implementation Report and Document Management • Communicates with agency leaders about project objectives, timelines, reporting requirements and other related resources to ensure high quality and consistent implementation • Maintains and organizes project documents through a variety of platforms (SharePoint, Basecamp, Dropbox, etc.) • Ensures team members, agency leaders, consultants and other key stakeholders have access to relevant materials • Ensures reports and other project documents are received in a timely manner • Summarizes project status and provide verbal updates at team meetings • Prepares timely and accurate reports for funders on the use and impact of their investments • Manages related and other duties as assigned in support of department and business needs Culture • Demonstrates a commitment to cultural diversity and inclusion that reflects BBBSA’s commitment to JEDI (justice, equity, diversity, and inclusion). • Champions internal and external culture of the organization focusing on being a JEDI-focused youth empowerment and equity organization. • Provides consistent follow-up regarding assigned projects and after meetings. • Manages related and other duties as assigned in support of department and business needs. Education & Related Work Experience Education Level: High school diploma or G.E.D equivalent required with additional post-secondary coursework related to project management, nonprofit management, office administration, public administration or other related field strongly preferred. Years of Related Work Experience: A minimum of 2 years of relevant experience, with an emphasis on administrative excellence and project management.
