Job Overview

We are seeking an experienced and highly motivated Administrative Specialist CL2 to support the Early College Program at the University of Maine at Fort Kent. This is an exciting opportunity to join a dynamic team and contribute to the success of our students. The successful candidate will be responsible for providing administrative support, coordinating program activities, and ensuring the smooth operation of the Early College Program.

Key Responsibilities

  • Receive and process Early College applications through the online portal ExplorEC, in collaboration with other campuses and the Maine Community College System for multi-campus students.
  • Process drop/withdrawal requests initiated in ExplorEC and provide support for students, high school guidance counselors, and administrators.
  • Serve as a liaison between the Early College Program Coordinator and participating high schools, explaining policies and procedures, and troubleshooting issues as they arise.
  • Engage with Early College colleagues System-wide on shared policies and procedures, maintaining and ensuring consistency for internal and external constituents.
  • Support accreditation efforts for the National Alliance of Concurrent Enrollment Partnerships (NACEP) and assist with recruitment and marketing initiatives.
  • Create accurate and timely reports reflecting Early College Program enrollments, add/drop, withdrawals, and course waitlists.
  • Communicate professionally and effectively with Early College Program stakeholders, including students, high school guidance counselors and administrators, parents, and homeschool educators.
  • Recognize high school students' need for additional assistance in navigating the Early College experience and provide support as needed.
  • Research student accounts and interact with the Bursar's office regarding billing and provide enrolled students with access to online tutoring services.

Essential Qualifications

To be successful in this role, you will need:

  • A minimum of two years' experience in administrative support, with a high school diploma or equivalent knowledge or experience.
  • Demonstrated proficiency in the use of software programs such as Microsoft Word and Excel, Google Suite, and Mail merge.
  • Excellent customer service skills, with the ability to provide support and respond to inquiries in a timely and professional manner.
  • Strong self-initiative, with the ability to work independently and as part of a team in a fast-paced environment.
  • Demonstrated time management skills, with excellent attention to detail and organizational skills.

Preferred Qualifications

While not essential, the following qualifications are preferred:

  • A Bachelor's Degree or equivalent knowledge or experience.
  • Experience providing administrative support and customer service in a fast-paced higher education environment.
  • Demonstrated knowledge of Maine Street (PeopleSoft).
  • Experience working with diverse populations and a commitment to promoting diversity, equity, and inclusion.
