Job Summary

The Office Personnel Administrator will perform a variety of clerical duties, including answering telephones, bookkeeping, typing, word processing, office machine operation, and filing. This role requires a strong and diverse skillset in relevant areas to drive success. As an Office Personnel Administrator, you will be responsible for providing administrative support to our team members, maintaining accurate records, and ensuring the efficient operation of our office.

Key Responsibilities

  • Train other staff members to perform work activities, such as using computer applications.
  • Answer telephones, direct calls, take messages, and run errands.
  • Prepare meeting agendas, attend meetings, and record/transcribe minutes.
  • Make travel arrangements.
  • Complete work schedules, manage calendars, and arrange appointments.
  • Open and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Complete and mail bills, contracts, policies, invoices, and checks.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
  • Type, format, proofread, and edit correspondence, reports, and other documents.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Compute, record, and proofread data and other information.
  • Process and prepare documents, such as business or government forms and expense reports.
  • Maintain and update filing, inventory, mailing, and database systems.
  • Communicate with customers, employees, and others to answer questions; disseminate or explain information; take orders and address complaints.
  • Collect, count, and disburse money; perform basic bookkeeping; complete banking transactions.
  • Troubleshoot problems involving office equipment.
  • Perform other duties as assigned.

Requirements and Qualifications

Essential Qualifications:

  • 1 year of experience in an office administration or related role.
  • High school diploma or equivalent required.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication and organizational skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.

Preferred Qualifications:

  • Previous experience in a similar industry or role.
  • Certification in office administration or a related field.
