Job Responsibilities

As an Office Assistant & Customer Care Specialist at Blithequark, your primary responsibilities will include:

  • Office Communications: Provide office communications support by answering calls, forwarding messages, and confirming customer work orders in a timely and professional manner.
  • Customer Interaction: Interact with customers daily to address appointments, service issues, billing inquiries, and other customer concerns, providing exceptional customer service and resolving issues efficiently.
  • Customer Satisfaction Surveys: Conduct customer satisfaction surveys and courtesy calls to ensure that our customers are satisfied with our services and to gather feedback for continuous improvement.
  • Customer Relationship Management: Track customer information and maintain accurate records in our Customer Relationship Management System, ensuring that all customer interactions are documented and up-to-date.
  • Work Order Management: Schedule and delegate work orders to field staff, updating and monitoring schedules as needed to ensure efficient service delivery.
  • Accounting and Bookkeeping: Execute daily accounting and bookkeeping tasks, including billing, receivables, and payables, to maintain accurate financial records.
  • Office Management: Manage office supplies and address office-related malfunctions or requests, ensuring that our office environment is well-maintained and efficient.

Qualifications

To be successful in this role, you will need:

  • Education: A college degree is preferred, or equivalent business experience.
  • Experience: At least 3 years of experience in the service industry, with a focus on back-office activities, customer service, or a related field.
  • Computer Literacy: Proficiency in computer literacy, including Microsoft Office Suite and QuickBooks, to effectively manage office tasks and maintain accurate records.
  • Organizational Skills: Strong organizational, planning, and time-management skills to prioritize tasks, manage multiple projects, and meet deadlines.
  • Communication Skills: Excellent verbal and written communication skills to interact with customers, colleagues, and management effectively.
  • Critical Thinking: Critical thinking and attention to detail to resolve customer issues, manage work orders, and maintain accurate records.

Preferred Qualifications

While not required, the following qualifications are preferred:

  • Swimming Pool Industry Knowledge: Knowledge of the swimming pool industry, including service operations, maintenance, and customer service.
  • Customer Relationship Software: Experience with customer relationship software, such as Salesforce or HubSpot, to effectively manage customer interactions and maintain accurate records.
