We're seeking a highly skilled and organized Staff Assistant to provide top-notch administrative support to our Vice President, Security and Facilitation, and their team. As a remote Staff Assistant, you will play a vital role in ensuring the smooth operation of our Security and Facilitation department, enabling our leaders to focus on delivering exceptional service to A4A members.

About the Role

We're looking for a detail-oriented and proactive individual to join our team as a Staff Assistant. This non-exempt role reports to the Vice President, Security and Facilitation, and is responsible for providing comprehensive administrative support to the department. As a Staff Assistant, you will be the first point of contact for various stakeholders, including council and committee members, and will be responsible for coordinating meetings, managing files and databases, and handling correspondence.

Key Responsibilities

  • Coordinate council and committee meetings, including logistics, communications, and problem-solving, to ensure seamless execution.
  • Assist meeting attendees with handouts, computer and phone access, and other needs, providing exceptional support and ensuring a positive experience.
  • Manage internal team drives and files, website information, contacts, and distribution lists, maintaining accuracy and up-to-date records.
  • Maintain files, including semi-annual report consolidation and distribution, and handle correspondence, demonstrating strong organizational skills.
  • Make travel arrangements, including domestic and international flights, hotels, and cars, ensuring timely and efficient booking.
  • Assist with scheduling for the Vice President, Security and Facilitation, and support other departmental assistants as needed, showcasing flexibility and adaptability.
  • Handle department mail, including faxes and emails, and perform receptionist duties as required, providing a professional and welcoming presence.
  • Update information on the member portal and maintain databases, ensuring data accuracy and integrity.
  • Perform additional duties as assigned, demonstrating a willingness to learn and grow with the organization.

Essential Qualifications

To succeed in this role, you will need:

  • A high school diploma or equivalent; an associate's or bachelor's degree is preferred.
  • At least 2 years of administrative experience, preferably in a similar industry or role.
  • Proven organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact with various stakeholders.
  • Proficiency in Microsoft Office and Google Workspace, with the ability to learn new software and systems.
  • Strong attention to detail and accuracy, with a focus on delivering high-quality work.

Preferred Qualifications

To stand out as a candidate, you will ideally have:

  • Experience working in a remote or virtual environment, with the ability to work independently and collaboratively.
  • Knowledge of website management and maintenance, with experience using content management systems.
  • Familiarity with database management and maintenance, with the ability to update and maintain records.
  • Previous experience in a security or facilitation-related field, or a willingness to learn and adapt to the industry.
