Key Responsibilities

As a Customer Service Specialist at blithequark, your key responsibilities will include:

  • Answering phones in a timely, positive, and welcoming manner, ensuring that all incoming calls are handled efficiently and effectively.

  • Performing appointing functions with accuracy and per patient or provider request, including scheduling appointments, managing cancellations, re-schedules, visit cycles, and wait lists.
  • Identifying patient age-specific and information or communication needs prior to visits, ensuring that all patients receive personalized care and attention.
  • Maintaining medical records with timely input of incoming scans, documents, or test results, ensuring that all patient information is up-to-date and accurate.
  • Other duties as assigned, including participating in training and development programs, attending meetings, and contributing to process improvements.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High School Diploma required, with a minimum of 2 years of experience as a receptionist highly preferred, preferably in a medical practice or ambulatory environment.
  • Positive interpersonal skills and effective oral and written communication, with the ability to work with patients, families, and clinical personnel in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook, with the ability to learn and adapt to new software systems and technologies.
  • Ability to work with an Electronic Medical Record, Practice Management system, Scheduling system, and other related E-Systems, with a strong understanding of medical terminology and procedures.

Preferred Qualifications

While not essential, the following qualifications are highly desirable:

  • Bilingual in English and Spanish (or other secondary language), with the ability to communicate effectively with patients and families from diverse backgrounds.
  • Knowledge of the insurance industry, including billing and reimbursement procedures, with strong computer skills and the ability to learn and adapt to new software systems and technologies.
