Key Responsibilities

  • Oversee weekend and holiday office operations, including answering phones, responding to emails, and managing service appointments.
  • Coordinate and schedule technicians for service calls, installations, and repairs, ensuring efficient dispatch and minimizing last-minute changes or emergencies.
  • Serve as the primary point of contact for customer inquiries, appointments, and complaints, providing top-notch customer service and resolving issues promptly.
  • Organize documents, invoices, and client records, maintaining accurate and up-to-date records.
  • Process customer payments and follow up on overdue accounts, ensuring timely payment processing and minimizing outstanding balances.
  • Assist in the setup and implementation of ServiceTitan or similar dispatching software, ensuring seamless integration and optimal usage.
  • Contribute to additional tasks to support the company's growth, demonstrating flexibility and a willingness to adapt to changing needs.

Essential Qualifications

To succeed in this role, you'll need:

  • Experience in scheduling or dispatching, preferably in a customer-facing environment.
  • 1+ year of experience with ServiceTitan or similar CRM software.
  • Proficiency in Google Suite and Slack, with the ability to learn new tools and technologies.
  • Excellent time management, multitasking, and problem-solving skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Strong attention to detail and communication skills, with the ability to articulate complex information clearly and concisely.
  • Familiarity with industry terminology, processes, and materials is a plus, but not required.
  • A high school diploma or equivalent is required.

Preferred Qualifications

While not essential, the following qualifications can give you a competitive edge:

  • Experience in a similar industry, such as plumbing, HVAC, or electrical services.
  • Familiarity with cloud-based CRM software, such as Jobber, HouseCall Pro, or SingleOps.
  • Previous experience in a customer support role, preferably in a remote or distributed team environment.

Technical Requirements

To work effectively in this role, you'll need:

  • A desktop or laptop with a webcam, speakers, and a second monitor.
  • A Windows or Mac-based operating system (tablets, Winbooks, smart devices, Windows Mini PCs, Chromebook, and Android systems are not compatible).
  • 8GB RAM or more, with a reliable internet connection and a router easily accessible from your workspace.

Work Schedule

This is a part-time role, requiring 20-30 hours of work per week, with a focus on weekend and holiday shifts. The schedule will include:

  • Saturday and Sunday shifts, with varying start times (8:00 AM - 5:00 PM, 10:00 AM - 7:00 PM, or 5:00 PM - 1:00 AM).
  • Potential for additional shifts or hours during holidays or peak periods.
