Job Overview

The Customer Service Representative will serve as the primary point of contact for our customers, providing timely and effective support for all inquiries related to orders, quotes, deliveries, and product information. This role requires a unique blend of technical knowledge, communication skills, and attention to detail, as well as the ability to work collaboratively with cross-functional teams to resolve customer issues and drive business growth.

Core Responsibilities

  • Act as the primary contact for customer inquiries, responding to requests via phone, email, or other communication channels, and ensuring prompt resolution of customer concerns.
  • Review and process customer purchase orders, quotes, and contracts, ensuring compliance with corporate policies, divisional operating procedures, and customer-specific requirements.
  • Collaborate with the Customer Service Supervisor to resolve complex customer issues, draft correspondence, and provide guidance on contract terms and conditions.
  • Disseminate critical information, such as terms and conditions, special instructions, and configuration changes, to relevant stakeholders within the organization.
  • Maintain accurate and up-to-date records of customer interactions, contracts, and agreements, ensuring compliance with internal and external retention requirements.
  • Develop and maintain a deep understanding of division policies and procedures to effectively address customer inquiries and resolve quality claims.
  • Coordinate with the sales team, functional areas, and other stakeholders to identify new business opportunities, input data into the ERP system, and ensure data accuracy and completeness.
  • Raise export compliance concerns to the Division Export Compliance Administrator (DECA) as required, ensuring adherence to regulatory requirements.
  • Support Account Receivable initiatives by resolving pricing and shipping discrepancies, and collaborate with finance to set up new customer accounts and validate purchase orders.
  • Maintain professional relationships with customers, sharing information with Sales and Marketing to stay competitive, and identifying opportunities for continuous improvement.

Essential Qualifications

  • Minimum of two years of experience in Customer Service or a related field, preferably in the Distribution industry.
  • Exemplary oral and written communication skills, with the ability to effectively interact with customers, colleagues, and stakeholders.
  • Experience working with ERP systems, Microsoft Office Applications (Outlook, Excel, Word, etc.), and other software tools.
  • High School Diploma or equivalent required; Associate degree preferred.

Preferred Qualifications

  • Experience in the Force and Motion Control industry or a related field.
  • Knowledge of contract management, pricing, and export compliance regulations.
  • Proven track record of providing exceptional customer service, with a strong focus on customer satisfaction and loyalty.
  • Ability to work in a fast-paced environment, prioritizing multiple tasks and deadlines while maintaining attention to detail.
