Job Summary
As a Customer Service Assistant at blithequark, you'll play a critical role in ensuring seamless communication with our customers, vendors, and internal stakeholders. You'll be responsible for maintaining accurate financial records, processing transactions, and providing administrative support to our teams. Key Responsibilities
- Review and maintain bills of materials in our system to ensure accuracy and efficiency.
- Respond to incoming calls from customers and vendors, providing helpful and patient support.
- Perform month-end processing tasks, including credits, debits, and financial recordkeeping.
- Maintain vendor files, contact information, and other relevant documentation.
- Issue receipts, record payments, and manage our financial recordkeeping system.
- Develop and demonstrate excellent communication skills, including helpfulness and patience when interacting with vendors, customers, contacts, and fellow employees.
- Follow established company safety policies and procedures to ensure a safe working environment.
- Collaborate with Production Supervisors and co-workers to achieve shared goals and objectives.
- Perform administrative functions, such as electronic and physical filing, scanning, copying, and organizing documents.
- Maintain electronic documents, including miscellaneous spreadsheets and office supplies.
- Enter receivers into our ERP software and manage office supply stock levels.
- Assist other departments administratively as needed and perform other general duties as required by management.
Requirements and Qualifications
Essential Qualifications:
- High School Diploma or equivalent required; associate degree preferred.
- One (1) year of Administrative Assistant experience; previous experience in a manufacturing or warehouse environment is an asset.
- Proficient in Microsoft Office Suite products, with advanced Excel skills.
- Strong organizational skills, attention to detail, and problem-solving abilities.
- Excellent communication and customer service skills, with the ability to handle stressful situations.
- Reliable transportation and punctuality are essential; ability to work overtime as needed.
Preferred Qualifications:
- SharePoint and Salesforce experience.
- Ability to work in a fast-paced, team-oriented environment.
- Willingness to learn and follow instructions.
- Clear and precise communication skills.
