Job Highlights and Overview

As a QuickBooks Desktop Accounting Setup and Implementation Specialist, you will be responsible for assisting our senior accounting staff in setting up and finalizing our QuickBooks company file for hourly and salary employees. This role involves a deep understanding of QuickBooks Desktop Enterprise, particularly in areas such as assisted payroll, general ledger setup, accounts payable (AP), accounts receivable (AR), and employee management. Your expertise will be invaluable in ensuring a seamless transition to our new accounting system and in providing best practices for data import from our older system.

Key Responsibilities

  • Meet weekly with our accounting team via remote Microsoft Teams meetings to discuss project progress and address any questions or concerns.
  • Assist in setting up and completing our QuickBooks Desktop company file, including employee setup, tax information, classes, payroll, AP, AR, and general ledger.
  • Provide advisory assistance on best practices for importing data from our older accounting system to QuickBooks, ensuring accurate and efficient data transfer.
  • Offer ongoing support and guidance to our accounting staff as needed, ensuring they are comfortable and proficient in using QuickBooks Desktop Enterprise.
  • Interface with QuickBooks Desktop support as necessary to resolve any technical issues or concerns.
  • Ensure timely communication with our accounting staff, responding to questions and providing updates on project progress during working hours.
  • Configure the QuickBooks company file to correctly support our company’s accounting needs, utilizing a shared network folder that has been set up and configured according to QuickBooks support guidelines.

Requirements and Qualifications

To be successful in this role, you will need:

  • A high school diploma or equivalent; advanced training or certification in accounting or QuickBooks Desktop is highly preferred.
  • Excellent communication skills and the ability to speak fluent English, as regular communication with our staff will be required.
  • Proven experience with QuickBooks Desktop Enterprise, particularly in setting up company files, general ledger, payroll, employee tax info, classes, AP, and AR.
  • In-depth knowledge of QuickBooks Desktop Enterprise features and functionalities, as well as its limitations.
  • A strong understanding of accounting principles, methods, general ledger setup, AP, and AR.
  • Experience and knowledge of using QuickBooks assisted payroll.
  • A reliable and secure high-speed internet connection.
  • Availability for weekly meetings via Teams or conference calls and potential on-site meetings at our corporate office in Tyler, TX.
  • Proficiency in using remote communication tools such as Microsoft Teams and MS Office applications, including Excel.

Deliverables and Expectations

Under the direction of our accounting staff and senior management, you will be expected to deliver the following:

  • Assist in setting up the QuickBooks company file with employees correctly configured for payroll processing, tax information, PTO, and vacation for hourly and salary employees.
  • Help finalize the proper setup of our general ledger, AP, AR, vendors, and bank reconciliation process, including assisted payroll.
  • Assist in the proper setup of classes and sub-classes (if needed) and help implement these as necessary.
  • Assist in the proper setup and use of lists for tracking expense categories and help implement these as needed.
  • Explain how QuickBooks tracks PTO and vacation hours and assist in setting up these features.
  • Explain and list the steps to close out financials for the end of the year.
  • Help create documentation on QuickBooks processes to assist other accounting staff members.
  • Provide weekly reports on work completed and a weekly schedule of working hours spent on the project.
