Position Summary

We're seeking a highly organized and customer-focused Remote Administrative Assistant/Front Desk to join our team. As the first point of contact for our clients, you'll be responsible for providing exceptional service, managing inquiries, and coordinating travel arrangements. Key Responsibilities

  • Client Relations: Act as the first point of contact for clients, managing inquiries, reservations, and providing assistance remotely. Respond to client queries in a timely and professional manner, ensuring that their needs are met and exceeded.
  • Administrative Tasks: Assist with administrative tasks such as scheduling appointments, meetings, and travel arrangements, ensuring accuracy and efficiency. Maintain organized records of client interactions, appointments, and other relevant information, ensuring confidentiality and compliance with company policies.
  • Travel Coordination: Provide personalized recommendations and assistance to clients, offering insights and expertise to enhance their travel experiences. Liaise with travel partners and vendors to coordinate bookings, confirmations, and updates, maintaining clear communication and accuracy.
  • Problem-Solving: Address any issues or concerns that may arise promptly, providing assistance and solutions to ensure client satisfaction. Collaborate with team members to support the overall success of the department and ensure a positive client experience.
  • Communication: Develop and maintain strong relationships with clients, travel partners, and vendors through excellent communication and interpersonal skills.

Essential Qualifications

  • Previous Experience: Previous experience in administrative support, reception, or a related field is preferred. If you have experience in the travel industry, that's a plus!
  • Communication Skills: Excellent communication and interpersonal skills, with the ability to build rapport and establish trust with clients.
  • Organizational Skills: Strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
  • Technical Skills: Proficiency in using office software and online communication platforms, including Microsoft Office, Google Suite, and CRM systems.
  • Travel Enthusiasm: Passion for travel and a willingness to learn about different destinations and travel preferences.
  • Flexibility: Ability to work independently and as part of a remote team in a fast-paced environment. Flexibility to adapt to changing priorities and client needs.

Preferred Qualifications

  • Travel Industry Experience: Experience working in the travel industry, including knowledge of travel software and systems.
  • Multilingual: Fluency in multiple languages is an asset, as we cater to a diverse client base.
  • Certifications: Relevant certifications, such as travel and tourism certifications, are a plus.
