Job Overview
We are seeking an experienced Virtual Assistant to join our team in Brazil, working on live chat and providing administrative support. As a Virtual Assistant, you will be part of a dynamic team responsible for ensuring the smooth operation of our administrative functions. This is a full-time position, offering a competitive salary range of R$35 – R$45 per hour, and the opportunity to work with one of Brazil's leading manager brands.
Key Responsibilities
- Assist with the execution and implementation of ad-hoc tasks and convey continuous improvement across the team.
- Support the organization and coordination of events, market and senior leader visits, team meetings, and Municipal centers, including Pod calendarization.
- Aid leaders with the onboarding process for new team members and internal developments, including business direct and call monitoring, equipment, access, and support.
- Act as a VP Assistant, handling travel arrangements, schedule organization, preparing and processing cost reports through the Agree Framework, creating and managing follow-ups and suggestions to responsibilities or deadlines.
- Oversee calendar activities and coordination, and supervision of meetings, making necessary arrangements such as technical logistics, reserving facilities, catering services, meeting materials, and plans.
- Support key HC reporting and complex presentations.
- Offer additional support to leaders with administrative tasks.
- Manage contract signature processes.
- Support Reviews and administration systems access for the channel.
Essential Qualifications
- Fluent in English and Brazilian Portuguese, both written and spoken.
- Administrative support experience in a large organization.
- Experience interacting directly with senior leaders.
- Key attention to detail.
- Strong interpersonal, relationship, and networking skills to build and maintain effective professional relationships across all areas of the organization.
- Organizational skills, prioritization, and multitasking abilities in a fast-paced environment.
- Excellent communication skills, strong relationship building, and time management.
- Able to work collaboratively in a unique environment.
- High level of proficiency using MS Office (Excel, Access, and PowerPoint), with Salesforce being a plus.

- Prior experience in a virtual assistant or live chat role.
