What To Expect (Job Responsibilities)

As a Senior Administrative Assistant, you will be responsible for a range of administrative tasks, including:

  • Meeting and Event Planning: Schedule and set up resources and technology for meetings and events, ensuring that all necessary materials and equipment are in place.
  • Meeting Materials Preparation: Create and prepare meeting materials, ensuring accuracy and quality.
  • System and Building Access Requests: Manage system and building access requests for communications team members, ensuring that all necessary permissions and clearances are in place.
  • Invoicing and Office Supplies: Process invoices and order office supplies, managing budgets and ensuring that all necessary materials are available.
  • Expense Reports: Track and submit expense reports on behalf of senior leaders, ensuring that all expenses are accurately recorded and reimbursed.

What Is Required (Qualifications)

To be successful in this role, you will need:

  • Education: A High School Diploma or GED (or higher) with equivalent experience.
  • Technical Skills: Intermediate proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams, as well as Microsoft SharePoint.
  • Availability: Ability to work any 8-hour shift between the hours of 8:00 AM - 5:00 PM.

How To Stand Out (Preferred Qualifications)

While not essential, the following qualifications will be highly regarded:

  • Experience: 2+ years of experience providing event or team-level administrative support, managing multiple executive calendars, or providing administrative support to an executive at the Director level or higher.
  • Industry Experience: Background in communications or healthcare industry.
  • Organizational Skills: Proven ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with senior leaders, colleagues, and external stakeholders.
