Position Overview – The Role in Focus

We are urgently seeking a highly motivated and detail‑oriented Senior Traveling Lab Inventory Coordinator to support our New England customer locations in Cambridge and Waltham, Massachusetts. This remote‑flex role combines robust inventory management expertise with hands‑on laboratory experience, ensuring that scientific teams receive the right consumables, equipment maintenance, and logistical support when they need it most. Reporting to the Site Services Supervisor, you will serve as the critical bridge between Avantor’s Lab & Production Services team (over 1,500 seasoned professionals) and our valued customers, helping to return valuable time back to science.

Key Responsibilities – What You’ll Do Every Day

  • Laboratory Equipment Maintenance: Coordinate preventive and corrective maintenance schedules for a diverse portfolio of lab instruments, perform on‑site maintenance tasks, and verify that equipment meets calibration and compliance standards.
  • Inventory Replenishment & Stockroom Management: Monitor point‑of‑use inventories, generate purchase requisitions, and ensure seamless replenishment of critical consumables, reagents, and disposables to avoid downtime.
  • Logistical Coordination: Oversee shipping and receiving activities, liaise with third‑party couriers, prepare accurate packing lists, and ensure compliance with hazardous material regulations for both inbound and outbound shipments.
  • Quality & Safety Documentation: Record all change requests, maintain rigorously up‑to‑date Standard Operating Procedures (SOPs), and follow Environmental Health & Safety (EH&S) protocols to protect personnel and the environment.
  • Inspection & Acceptance: Conduct visual inspections of incoming materials, document any damage or discrepancies, and coordinate acceptance or rejection in accordance with customer specifications.
  • Hazardous Materials Handling: Safely manage chemicals, biological waste, and glassware, ensuring proper labeling, storage, segregation, and disposal in line with regulatory requirements.
  • Customer Collaboration: Serve as the primary point of contact for site customers, gather feedback, propose operational improvements, and drive continuous enhancement of inventory processes.
  • Training & Mentorship: Provide on‑the‑job training to junior staff or customer personnel on inventory best practices, shipment preparation, and equipment handling.
  • Travel Between Sites: Travel to customer locations across the New England region on a regular, scheduled basis, maintaining flexibility to meet emergent service requests.
  • Administrative Support: Perform basic order entry, track backorders, generate status reports, and utilize Microsoft Excel to analyze inventory trends and forecast demand.

Essential Qualifications – What We Need From You

  • Education: High school diploma or GED is required; additional technical or scientific coursework is a plus.
  • Experience: Minimum of 1 + year of customer service and inventory handling experience, complemented by at least 6 months of hands‑on lab or scientific environment exposure.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite, especially Excel (pivot tables, VLOOKUP, data validation), and familiarity with inventory management software.
  • Driving Eligibility: Valid driver’s license, reliable personal transportation, and a clean driving record to support travel between customer sites.
  • Health & Safety Compliance: Proof of COVID‑19 vaccination and ability to meet all company and customer background, health, and security checks.
  • Communication Skills: Strong written and verbal communication abilities, enabling clear documentation and effective interaction with both internal teams and external customers.
