Why This Role Matters – The Impact of Accurate Data Entry

In today’s data‑driven economy, the accuracy of financial information can make or break a company’s strategic decisions. As a Remote Part‑Time Data Entry & Accounting Support Specialist, you become the guardian of that accuracy. Your meticulous entry of invoices, expense reports, and other financial documents ensures that accounting teams have reliable data to forecast, report, and comply with regulatory standards. By safeguarding data integrity, you directly contribute to the financial health and operational efficiency of our clients.

Position Overview

This part‑time, remote position (25‑30 hours per week, Monday through Friday) is anchored in our Baltimore, Maryland corporate hub but can be performed from any home office with a stable internet connection. You will be responsible for entering, validating, and organizing financial data using industry‑standard accounting software such as QuickBooks, while adhering to strict confidentiality and data‑security protocols.

Core Responsibilities

  • Accurate Data Entry: Input invoices, receipts, purchase orders, and expense reports into QuickBooks or designated accounting platforms with a 99%+ accuracy rate.
  • Data Validation & Verification: Cross‑check entered information against original documents, confirming totals, dates, vendor details, and account codes.
  • Record Management: Organize digital folders, maintain version control, and ensure all financial records are easily retrievable for audits and reporting.
  • Basic Accounting Assistance: Perform preliminary tasks such as reconciling petty‑cash balances, preparing journal entries, and supporting month‑end close activities.
  • Collaboration & Communication: Liaise with remote accountants, project managers, and client contacts to resolve discrepancies and answer data‑related queries.
  • Compliance & Confidentiality: Follow internal policies and industry regulations (e.g., GAAP, GDPR) to protect sensitive financial information.
  • Process Improvement: Identify repetitive entry patterns, suggest workflow enhancements, and help implement automation tools where appropriate.
  • Ad‑hoc Support: Participate in occasional data‑migration projects, assist with virtual training sessions, and contribute to team knowledge‑base articles.

Essential Qualifications

  • Proven Data‑Entry Experience: Minimum of 1‑2 years of hands‑on experience in data entry, preferably within an accounting, finance, or invoicing context.
  • Strong Attention to Detail: Demonstrated ability to spot inconsistencies, arithmetic errors, and typographical mistakes.
  • QuickBooks Proficiency: Practical knowledge of QuickBooks Online or Desktop; certifications are a plus but not mandatory.
  • Self‑Management Skills: Comfortable working independently, setting priorities, and meeting daily/weekly deadlines without direct supervision.
  • Communication Skills: Excellent written and verbal communication to convey findings, ask clarifying questions, and document procedures clearly.
  • Technical Requirements: Reliable high‑speed internet connection, a dedicated workspace, and a computer meeting the company’s security standards.

Preferred (But Not Required) Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field.
  • Experience with additional accounting platforms (e.g., Xero, Sage) or enterprise resource planning (ERP) systems.
  • Familiarity with data‑privacy regulations and best practices for handling confidential financial information.
  • Previous remote work experience, showcasing ability to thrive in virtual teams.
  • Certifications such as QuickBooks Certified User, Certified Bookkeeper, or similar credentials.

Key Skills & Competencies for Success

  • Numeracy & Analytical Thinking: Comfort with numbers, calculations, and logical problem‑solving.
  • Organizational Excellence: Ability to maintain orderly digital filing systems and manage multiple data streams simultaneously.
  • Time Management: Efficiently allocate work hours to achieve daily targets while balancing other responsibilities.
  • Tech Savvy: Quick adoption of new software tools, keyboard shortcuts, and automation utilities.
  • Integrity & Ethics: Commitment to confidentiality and ethical handling of financial data.
  • Team Collaboration: Readiness to engage in virtual meetings, share updates, and assist colleagues in a constructive manner.
  • Continuous Learning: Openness to training, webinars, and professional development opportunities to stay current in accounting trends.

  • Internal Mobility: Opportunities to transition into full‑time bookkeeping, accounts payable/receivable specialist, or even junior accountant roles after demonstrating proficiency.
  • Leadership Tracks: High‑performing team members may explore supervisory paths, leading remote data‑entry teams or spearheading process‑improvement initiatives.
  • Cross‑Functional Exposure: Collaboration with client‑facing teams provides insight into broader business operations, enhancing your strategic perspective.
