Role Overview – Your Mission as Clinical Coordinator RN

The Clinical Coordinator RN serves as the operational and clinical hub of the Cardiac Electrophysiology (EP) Remote Monitoring Clinic. You will lead a multidisciplinary team of nine staff members—including Patient Services Associates, Administrative Services Associates, Remote Device Associates, and an Administrative Coordinator—to ensure seamless, high‑quality remote monitoring of pacemakers, implantable cardioverter‑defibrillators (ICDs), and implantable cardiac monitors/loop recorders.

In this role you will blend clinical expertise with strategic leadership, overseeing patient enrollment, transmission scheduling, device data review, billing compliance, and continuous workflow optimization. You will act as the primary liaison between our EP physicians, the remote monitoring team, and device manufacturers, guaranteeing that every remote transmission is captured, triaged, documented, and acted upon in accordance with the highest standards of patient safety and regulatory compliance.

Key Responsibilities – What You’ll Do Every Day

  • Team Leadership & Management: Supervise, mentor, and evaluate a nine‑person team; coordinate staffing schedules, track productivity metrics, and champion professional development initiatives.
  • Remote Monitoring Operations: Oversee enrollment of patients into Paceart Optima and EPIC, schedule transmissions, verify connectivity, and ensure timely review of all incoming device data.
  • Clinical Triage & Coordination: Review remote alerts, classify urgency, and collaborate with electrophysiologists, physicians, and advanced practice providers (APPs) to initiate appropriate clinical actions.
  • Documentation & Compliance: Maintain accurate, audit‑ready records of all remote transmissions in EPIC and Paceart Optima; ensure adherence to departmental policies, HIPAA regulations, and CMS billing guidelines.
  • Vendor Relations: Serve as the central point of contact for device manufacturers; manage enrollment processes, reconcile reports, and resolve technical or service‑related issues.
  • Patient Education & Support: Conduct telephonic outreach to educate patients on remote monitoring procedures, troubleshoot connectivity challenges, and reinforce adherence to follow‑up schedules.
  • Billing & Revenue Cycle Management: Verify that remote device services are billed correctly, monitor reimbursement trends, and work with the finance team to address denials or discrepancies.
  • Workflow Optimization: Analyze current processes, identify bottlenecks, and implement evidence‑based improvements that enhance efficiency, reduce errors, and improve patient outcomes.
  • Quality Improvement & Reporting: Lead data‑driven quality initiatives, generate performance dashboards, and present findings to senior leadership for strategic decision‑making.
  • Regulatory Oversight: Ensure the clinic meets all state, federal, and accreditation standards; prepare for and support internal and external audits.

Essential Qualifications – The Must‑Haves

  • Registered Nurse (RN) licensure in Pennsylvania: Active, unrestricted license to practice nursing.
  • Basic Cardiac Life Support (BCLS) certification: Current certification required.
  • Advanced Cardiovascular Life Support (ACLS) or Pediatric Advanced Life Support (PALS): Current certification required.
  • IBHRE Certification: Demonstrates expertise in cardiac device monitoring and patient safety.
  • Bachelor’s degree in Nursing, Health Sciences, or a related field: Minimum required; graduate degree is a plus.
  • 3‑5 years of direct experience with cardiac electrophysiology devices and remote monitoring platforms: Proven ability to interpret device data and coordinate patient care.
  • 2‑3 years of ambulatory care nursing experience: Preference for candidates who have managed high‑volume outpatient populations.
  • Strong communication skills: Ability to convey complex technical information clearly to patients, clinicians, and vendors.
  • Proficiency with electronic health records (EHR) and remote monitoring software: Experience with EPIC and Paceart Optima highly desirable.

Preferred Qualifications – The “Nice to Have” Extras

  • Management or supervisory experience within a clinical setting.
  • Formal training in quality improvement methodologies (e.g., Lean, Six Sigma).
  • Experience with telehealth platforms and virtual patient engagement strategies.
  • Advanced certifications such as Certified Cardiac Nurse (CCN) or Certified Electrophysiology Nurse (CEN).
  • Familiarity with Medicare and Medicaid billing rules for remote cardiac monitoring services.
