Role Overview – Why This Position Matters

The Corporate Fleet Coordinator plays a pivotal role in the seamless operation of Stantec’s extensive vehicle inventory. Reporting directly to the Corporate Fleet Manager, you will serve as the central hub between internal stakeholders, external vendors, finance, and compliance teams. Your day‑to‑day responsibilities will ensure that every asset is properly procured, maintained, insured, and documented, allowing project teams across the globe to focus on delivering world‑class engineering solutions without worrying about transportation logistics.

Key Responsibilities – Driving Efficiency and Excellence

  • Asset Procurement & Lifecycle Management: Partner with internal project leads and the fleet management vendor to order new vehicles, oversee registration and licensing renewals, and manage the end‑of‑life disposal process for assets leaving service.
  • Maintenance Coordination: Track scheduled maintenance, arrange repairs, and ensure service records are up‑to‑date, minimizing downtime and extending vehicle longevity.
  • Insurance & Risk Management: Add, modify, or delete insurance coverage as fleet composition changes, ensuring compliance with corporate risk policies and local regulations.
  • Fuel Monitoring & Sustainability Reporting: Analyze fuel usage trends, identify opportunities for cost savings, and contribute data to Stantec’s sustainability initiatives.
  • Invoice Processing & Financial Reconciliation: Review and process invoices from the fleet vendor, reconcile fleet inventory with Stantec’s fixed‑asset system, and collaborate with finance and payroll on mileage reporting.
  • Communication Hub: Monitor, organize, and promptly respond to fleet‑related emails, acting as the primary point of contact for both internal requestors and external service providers.
  • Process Improvement: Continuously evaluate existing workflows, propose automation or procedural enhancements, and champion best practices across the fleet management ecosystem.
  • Regulatory Compliance: Stay abreast of state, federal, and international transportation regulations, ensuring all fleet activities meet legal standards.

  • Education: Post‑secondary education in Business Administration, Logistics, Supply Chain Management, or a related field is preferred.
  • Experience: Minimum of two years of hands‑on experience in fleet coordination, vehicle asset management, or a comparable logistics role. Equivalent combinations of education and experience will be considered.
  • Communication Skills: Excellent written and verbal communication abilities, capable of interacting professionally with senior managers, vendors, and cross‑functional teams.
  • Integrity & Ethics: Demonstrated adherence to professional ethics, confidentiality, and compliance standards.
