As a Remote Fleet Compliance Coordinator, you will be the guardian of our commercial‑vehicle fleet, ensuring every truck, van, and specialty vehicle operates in full alignment with the complex web of U.S. and Canadian regulations. Position Overview – What You’ll Do

Reporting to the Corporate Fleet Manager, you will lead the end‑to‑end compliance program for Stantec’s North American vehicle inventory. You’ll partner with internal stakeholders, external regulators, and technology providers to keep our fleet legally sound, safe, and ready for the road. The role is fully remote, offering flexibility while demanding a proactive, detail‑oriented mindset.

Key Responsibilities

  • Inventory Management: Maintain an accurate, real‑time database of all commercial vehicles, their assignments, and status across the United States and Canada.
  • Regulatory Compliance Assurance: Verify that every vehicle meets licensing requirements such as IRP (International Registration Plan), IFTA (International Fuel Tax Agreement), DOT (Department of Transportation), ELD (Electronic Logging Device) mandates, National Safety Code, FMCSA (Federal Motor Carrier Safety Administration) standards, and Transport Canada regulations.
  • Driver Personnel Oversight: Coordinate with driver‑management teams to ensure all driver credentials, medical certifications, and training records satisfy jurisdictional rules.
  • Issue Reporting & Escalation: Promptly capture, document, and communicate any non‑compliant incidents, filing detailed reports for fleet leadership and escalating critical concerns to senior management.
  • Policy Development & Distribution: Contribute to the creation, revision, and dissemination of Stantec’s commercial‑vehicle policies, standards, and best‑practice guides.
  • Specification Support: Assist procurement in defining vehicle specifications that meet compliance, safety, and performance criteria for new fleet acquisitions.
  • Training & Knowledge Sharing: Lead or co‑facilitate fleet compliance training sessions, webinars, and workshops for internal clients, fostering a culture of regulatory awareness.
  • Inbox & Request Management: Manage a shared fleet inbox, responding to inquiries, processing documentation requests, and providing timely support to internal stakeholders.
  • Continuous Improvement: Identify gaps in processes, recommend technology enhancements (e.g., GPS tracking, fleet management software), and drive efficiencies across the compliance lifecycle.

Essential Qualifications – What We Need From You

  • Experience: Minimum of five (5) years in a fleet compliance, fleet operations, or related role with demonstrable responsibility for regulatory adherence of commercial vehicles.
  • Regulatory Knowledge: Deep understanding of North American vehicle regulations, including but not limited to IRP, IFTA, DOT, FMCSA, ELD, National Safety Code, and Transport Canada mandates.
  • Technical Proficiency: Hands‑on experience with GPS systems, electronic logging devices, telematics platforms, and fleet management software suites (e.g., Fleetio, Samsara, Teletrac). Ability to navigate cloud‑based collaboration tools (Microsoft Teams, Slack, SharePoint) in a remote environment.
  • Educational Background: Post‑secondary education in logistics, transportation management, automotive technology, or a related technical field; equivalent professional experience will also be considered.
  • Analytical Ability: Skilled at interpreting complex regulatory language, performing root‑cause analysis on non‑compliance events, and generating actionable reports.
  • Communication & Interpersonal Skills: Clear, concise written and verbal communication; comfortable presenting to senior leadership, training diverse audiences, and building rapport with drivers and internal clients.
