This position plays a vital role in the successful execution of large-scale collaborative planning sessions that align teams, resources, and priorities effectively. This position is responsible for the logistical coordination, communication, tooling setup, and administrative support required to ensure seamless execution of the planning events to deliver an efficient and engaging experience. The compensation range for this role is a good faith estimate, it is estimated based on what a successful candidate might be paid. All offers presented to candidates are carefully reviewed to ensure fair, equitable pay by offering competitive wages that align with the individual's skills, education, experience, and training. The range may vary above or below the stated amounts. What you'll do • Serve as the central point of contact for all event logistics including venue, tools, suppliers, supplies, room configuration, attendee tracking, contracts, payment, and event setup. • Facilitate smooth communication across planning participants and resolve event-related issues quickly and effectively. • Capture and analyze data to drive process improvements related to 12-week cycle planning and execution, partnering with teams to assess goal progress, identify dependencies, evaluate correlations between team confidence and goal completion, and monitor unplanned work and capacity. • Support risk management and mitigation throughout the Big Room Planning process, by capturing risk themes during the event and collaborating with risk owners throughout the cycle to define and track the next steps. • Maintain and update content to support Big Room Planning events, including best practice guides, templates, and planning tools. What you need • High school diploma required. • Minimum of 3+ years' relevant professional experience required. • Experience utilizing Microsoft applications (e.g., Word, Excel, and Project) required. • * Demonstrated experience coordinating large-scale meetings or planning events. • Strong organizational and project coordination skills with excellent attention to detail. • Excellent verbal and written communication skills and the ability to interact professionally and confidently with a diverse group, executives, leaders, and subject matter experts. • Utilizes critical thinking and situational awareness to identify issues and adjust plans proactively in rapidly changing environments. • Ability to manage multiple tasks, stakeholders, and priorities in a dynamic, deadline-driven environment. • Coordinates with teams, stakeholders, and facilitators to promote seamless collaboration before, during, and after Big Room Planning sessions. • Demonstrated ability using collaboration and planning tools such as Microsoft Teams, Zoom, (insert other tools your team uses like Jira, Confluence). Physical Requirements • Ability to stand or sit for extended periods. • Ability to look at a computer screen for prolonged periods. • Ability to lift and carry up to [25] pounds. • Occasional walking, bending, or reaching within the office environment. • Periodic light lifting and materials set up is necessary. Bonus if you have • Event planning for groups of approximately 500 participants (e.g., procurement, venue logistics including space setup, food, and beverage coordination) preferred. • Experience in an Agile (e.g., Scrum, Kanban) or program delivery environment preferred. • Health care payer experience preferred.
