Job Overview

We are seeking a highly skilled and motivated Administrative Assistant to join our growing team. As an Administrative Assistant, you will be responsible for examining in and out trucks, managing the flow of trucks into and out of the structure, evaluating the yard, updating time-sensitive records, running reports, and communicating with different teams. Your expertise and attention to detail will be essential in ensuring the smooth operation of our distribution center.

Key Responsibilities

  • Examine in and out all trailers entering/leaving the yard and log trailer status, including trailer number, seal number, trailer status (full or empty), farm hauler number, load number, date, and time.
  • Review all inbound and outbound trailers on the log sheet to ensure accuracy and completeness.
  • Appear and/or dispatch the loads into warehouse, transportation, and yard management systems.
  • Complete a daily yard check and reconcile the yard check with yard stock to ensure inventory accuracy.
  • Plan and communicate trailer movement in the yard to the switchers, dock managers, and transportation planners to ensure efficient operations.
  • Direct drivers to proper locations in the yard for the drop-off and pick-up of trailers.
  • Ensure the completion of all required paperwork, records, and documentation to maintain compliance and accuracy.
  • Maintain a clean, safe workplace and a consistent flow into the structure to ensure a productive and efficient work environment.

Requirements and Qualifications

To be successful in this role, you will need to possess the following qualifications and skills:

  • Bachelor's degree in a related field, such as business administration, logistics, or supply chain management.
  • Administration or warehousing and fulfillment experience, with a strong understanding of distribution center operations.
  • Ability to work all shifts and stay at work longer than required as needed, with a flexible and adaptable approach to changing priorities and deadlines.
  • Proficient computer skills, including Microsoft Office (Word, Excel) and other organizational/planning tools, with the ability to learn and adapt to new systems and technologies.
  • Solid attention to detail, time management, organizational, and verbal communication skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong customer service orientation, with a focus on delivering exceptional service and ensuring customer satisfaction.
  • Ability to focus and perform multiple tasks, with a strong ability to multitask and manage competing priorities.
  • Excellent interpersonal skills and ability to communicate clearly in English (verbal and written), with the ability to build strong relationships with colleagues, customers, and stakeholders.
  • Ability to use a computer keyboard, computer screen, phone headset, and phone system, with the ability to learn and adapt to new technologies and systems.
  • Normal and reliable attendance is a fundamental requirement of this position, with a strong commitment to punctuality and reliability.
  • Ability to stand/walk for up to 10 hours, with the ability to lift, bend, and move as required, in a fast-paced and dynamic work environment.

Preferred Qualifications

  • Experience working in a distribution center or warehouse environment, with a strong understanding of logistics and supply chain management.
  • Knowledge of transportation management systems, warehouse management systems, and other logistics software, with the ability to learn and adapt to new systems and technologies.
  • Certification in logistics, supply chain management, or a related field, with a strong commitment to ongoing learning and professional development.
  • Experience working in a team environment, with a strong ability to build strong relationships with colleagues, customers, and stakeholders.
