Job Overview and Responsibilities
This role is a member of the Airport Stations Group within the Customer Experience Division. As an Administrative Support Specialist, you will be responsible for performing a wide range of office duties, including coordinating meeting arrangements, writing, filing, ensuring phone coverage, welcoming and directing customers, managing mail, ordering and distributing office supplies, reconciling P-card spending, tracking anniversaries/birthdays, and arranging travel and hotel accommodations.
- Furnish assistance with planning management presentations and special events as required
- Manages, reviews, and monitors all local invoices through InvoiceWorks and distributes as necessary
- Investigates and escalates office technology issues, including phone and copier machines
- Tracks and ensures employees complete onboarding tasks, including appropriate system access, assignment of lockers, mailboxes, uniforms, badges, fingerprinting, training, etc.
- Assists in station event planning, coordination, and execution (e.g., Do Team, lunch meetings, holiday dinners, recognition events)
- Handles payroll processing in Workbrain for management and care staff
- Processes termination letters and coordinates local communications and response
- Manages employee parking, including permitting and assignments, as required
- Assists with timekeeping functions, data entry, data verification, discrepancies, and filing
- Maintains employee records, as necessary
- Maintains Station meeting schedules, including monthly emergency response
- Accesses and manages various periodic reports, including performance, audit, cost, employee engagement and recognition, etc.
- Updates required manuals, files, and maintains all safety-related items
- Serves as backup for various financial functions
- Manages records for OSHA, safety, etc. (301's, weekly and annual)
- Assists with budget preparation and reconciliation, including monthly closeout of landing fees
- Supports pricing activities as required
- Tracks and verifies incentive funds earned
- Liaises with CRE/Offices and vendors to follow local programs, as applicable
- Leads/coordinates work with other care staff, as applicable
- Performs other duties as required
Essential and Preferred Qualifications
To be successful in this role, you will need:
- High School Diploma or GED
- Office/administrative experience
Preferred qualifications include:
- Knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc.
- Knowledge of policies, procedures, and corporate design
- Ability to focus on work, be detail-oriented, and meet deadlines
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously
- Ability to be self-motivated with strong organizational skills
- Ability to learn and understand specific software and programs
