Key Responsibilities

  • Organize, confirm, and proactively manage detailed schedules, handling all aspects of complex senior-level meetings and related logistics.
  • Place, receive, and manage a high volume of calls and messages, ensuring that all communications are handled in a professional and timely manner.
  • Schedule and coordinate high-volume, complex global and domestic travel, including flights, hotels, and ground transportation, and ensure that all necessary passport/visa documentation is in order.
  • Perform general administrative tasks, including but not limited to preparing correspondence, document organization, research, filing, and preparing pre-meeting materials for review.
  • Plan travel and expense reports on a timely basis, ensuring that all expenses are accurately recorded and submitted for reimbursement.
  • Exercise discretion when handling highly sensitive and confidential information, maintaining the highest level of professionalism and integrity at all times.
  • Develop and implement employee communications, including but not limited to preparing Town Halls, executive updates, and phone calls, to ensure that all stakeholders are informed and engaged.
  • Other related tasks and responsibilities as assigned by senior leaders or management.

Essential Qualifications

To be considered for this role, you will need to have a Bachelor's degree and a minimum of 2-3 years of experience in an administrative or support role. You will also need to have excellent organizational and communication skills, with the ability to work independently and as part of a team. Proficiency in Microsoft Office and other software applications is required, as well as the ability to learn and adapt to new systems and processes.
