We’re looking for a Virtual Assistant who can be the friendly, organized, and reliable voice of the firm — someone who ensures that every call and email is handled with warmth and professionalism.
About the Role
This role is ideal for someone who loves keeping things running smoothly behind the scenes. You’ll be responsible for managing incoming emails and phone calls, ensuring prompt and professional communication with clients, prospective clients, and colleagues.
The right person will have strong communication skills, excellent judgment, and a calm, confident presence on the phone. While you won’t provide legal advice, you’ll play a key role in creating a positive first impression and keeping clients informed throughout their experience with the firm.
Key Responsibilities
• Email Management: Monitor and organize the firm’s main inbox; respond to or forward messages as appropriate, and flag important communications for attorney attention.
• Phone Coverage: Answer and return calls during business hours; take clear, detailed messages; ensure calls are routed efficiently and clients feel heard and supported.
• Scheduling: Coordinate consultations and client meetings, and manage calendar updates.
• Client Follow-Up: Send or coordinate follow-up messages to leads and existing clients as directed.
• Organization: Keep communication records accurate and up to date; assist with light administrative tasks as needed.

• Reliable and responsive — you take pride in being someone others can count on.
• Strong written and verbal communication skills.
• Comfortable working independently and using good judgment.
• Tech-savvy with experience using tools like Google Workspace (Gmail, Calendar, Drive), Zoom, and basic CRM or intake systems.
• Prior experience in a law firm, customer service, or administrative role (preferred but not required).
Position Details
• Schedule: On-call during standard business hours (8am-5pm CST). Must be available to answer or return calls and emails promptly throughout the day.
• Compensation: Flat-rate monthly payment (to be determined based on experience and expected responsiveness), regardless of call or email volume.
• Employment Type: Contract / Remote.
• Growth: Potential for expanded hours and responsibilities as the firm continues to grow.
