Position Overview – Why This Role Matters

We are seeking a motivated, detail‑oriented Entry‑Level Procurement Clerk to join our Operations team. In this remote, full‑time position, you will serve as the primary point of contact for clients and suppliers regarding the acquisition, tracking, and delivery of IT hardware.   • Quote Generation & Validation: Collaborate with the Client Success team to prepare accurate hardware quotes, verify specifications, and ensure pricing aligns with company guidelines.
  • Order Processing: Enter purchase orders into the ticketing system or CRM, confirm client requirements, and secure approvals before initiating supplier transactions.
  • Supplier Communication: Maintain proactive contact with vendors to confirm product availability, negotiate delivery dates, and resolve any discrepancies that arise during fulfillment.
  • Inventory Management: Track stock levels of client‑specific hardware, update inventory records in IT Glue, and flag potential shortages before they impact client projects.
  • Documentation & Record‑Keeping: Generate and archive all procurement documentation—including purchase orders, packing slips, warranty information, and compliance forms—ensuring audit readiness.
  • Issue Resolution: Serve as the escalation point for order‑related problems, coordinating with Operations, Finance, and Client Success to resolve delays, damaged goods, or billing inconsistencies.
  • Quality Assurance: Inspect received hardware for accuracy, functionality, and condition; report any defects to suppliers and arrange replacements when necessary.
  • Performance Reporting: Compile weekly and quarterly procurement metrics (cost savings, order cycle time, supplier performance) using Excel and Power BI, presenting insights to leadership.
  • Process Improvement: Identify bottlenecks or inefficiencies in the procurement workflow and propose enhancements to streamline operations and reduce costs.
  • Collaboration Across Teams: Partner closely with Operations, Finance, and Client Success to ensure seamless hand‑offs, accurate invoicing, and clear communication throughout the order lifecycle.

Essential Qualifications – What You Bring to the Table

  • A high school diploma or GED is required; an associate’s or bachelor’s degree in Business Administration, Supply Chain Management, Information Technology, or a related field is strongly preferred.
