Job Summary
The Online and Distance Education Coordinator supports students, faculty, and staff engaged in online, hybrid, and extension programs. This role emphasizes helping launch and manage hybrid classes, shepherding students through their academic journey, and providing administrative and logistical coordination across campuses and teaching sites. Occasional travel is required to support extension classes and events.
Responsibilities
• Serve as a primary point of contact for online, hybrid, and extension students.
• Shepherd students by providing communication, encouragement, and logistical guidance throughout their programs.
• Respond promptly to student inquiries and resolve issues with a service‑oriented approach.
• Send class logistics emails to students, faculty, and staff for assigned regions.
• Assist with projects and initiatives to improve student engagement and retention.
• Coordinate the opening and support of hybrid and block classes, ensuring resources and setup are in place.
• Work with extension sites to arrange classroom setup and audio/visual equipment.
• Travel occasionally to extension and mobile classes to assist students and faculty.
• Provide scheduling support for hybrid events, conferences, and training sessions (including Zoom/Teams setup).
• Support faculty with preparation of course materials and uploading content to the learning management system.
• Coordinate onboarding and ongoing distance education and online training for academic departments and faculty members.
• Maintain and update online professor training material and Canvas course.
• Distribute resources to faculty and students.
• Monitor online learning platforms and assist in troubleshooting faculty or student technical issues as a first point of contact.
• Coordinate communication to faculty (email announcements, reminders, etc.).
• Coordinate online GTA onboarding and ongoing training.
• Provide online and distance education departments, Canvas, and Teams updates to GTAs.
• Maintain and update online GTA training materials and Canvas course.
• Provide administrative support for the Online and Distance Education leadership team.
• Maintain departmental records, files, and databases.
• Prepare reports, presentations, and correspondence as needed.
• Track departmental processes and assist with budget reconciliations (as assigned).
• Perform other duties as directed by the Deans.
Job Requirements
• Communicate effectively and warmly with students, faculty, and staff.
• Possess strong organizational skills and attention to detail.
• Be proficient with computers, online learning platforms, and communication tools.
• Preferably have experience in coordinating classes, supporting online learning, and assisting in student development.
• Be willing to travel occasionally to support extension and hybrid classes.
