**Experienced Administrative Assistant – Waseca Junior High School Activities Office/Teaching and Learning**

- *Job Summary**
The Activities Office/Teaching & Learning Clerical III employee will perform a wide variety of independent office work for the efficient operation of the Junior High School and Department of Teaching and Learning Offices. This is a remote position, and the successful candidate will be responsible for providing administrative support to the Activities Director, Office Manager, and other staff members.
- *Key Responsibilities**
- Communicate in a positive and effective manner with staff, students, parents, and/or visitors
- Complete clerical activities of a school to support the principal, teachers, and administrative staff
- Perform clerical tasks which require the application of independent judgment and familiarity with School Board policies, district procedures, and school-based rules and regulations
- Establish, maintain, and monitor accurate, neat, and efficient electronic and manual filing systems
- Meet timelines and perform multiple tasks in an efficient manner
- Give attention to detail
- Work with frequent interruptions
- Maintain confidentiality and professionalism in school and community
- Ensure attendance (at least 95%), punctuality, and dress are appropriate
- Participate in district-provided staff development opportunities
- *Specific Duties**
- Answer and direct phone calls, communicating effectively and addressing caller questions and concerns
- Welcome visitors to the school and respond to inquiries from a wide variety of internal and external parties (students, parents, community, public agencies, staff, etc.) for the purpose of providing information, facilitating communication, and/or providing direction
- Facilitate the activity registration process for each season (fall, winter, spring)
- Prepare and reconcile cash boxes for all activity events
- Help the Activities Director with the voucher process and record keeping
- Print grade and attendance sheets for students when needed for principals, teachers, parents, and in-school monitors
- Assist parents/guardians with Student Management System (Infinite Campus) and Learning Management System (Schoology) access
- Coordinate the distribution and renting of padlocks for physical education and activities
- Assist the Office Manager with student obligations management
- Support the Office Manager with verifying funds for deposits
- Help with special events, including but not limited to, the Honors Banquet, Parent-Teacher Conferences, Homecoming, and Snow Week Coronation events
- Provide clerical support for the Director of Teaching & Learning
- Serve as backup for site clerical staff members
- Perform other duties as assigned
- *Qualifications, Knowledge, Training, and Experience**
- Associate's degree (AA) or the equivalent of two (2) years of postsecondary education (60 semester credits), or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
- No licensing required
- Knowledge in the use, operation, and care of computers and other office equipment, as well as, software programs (i.e. Infinite Campus, SMARTFinance, Word, Excel, Google Suite, website management)
- Familiar with computer use and comfortable with learning new programs
- Ability to perform general clerical duties
- Possess communication and interpersonal skills as applied to interaction with co-workers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction
- Ability to maintain confidentiality
