Position Overview

We are seeking a highly experienced, detail-oriented, and proactive Virtual/Personal Assistant to support the CEO of a growing technology company. This role is ideal for someone who has previously worked with US-based executives, is adept at managing multiple priorities, and thrives in a remote, fast-paced environment. The successful candidate will be expected to work independently with minimal supervision, while handling a wide range of professional and personal tasks with discretion and efficiency.

Key Responsibilities:

    Executive Support:
  • Manage and optimize the CEO’s calendar, prioritizing and coordinating meetings, conference calls, and events with US and international stakeholders.
  • Handle email and communications—screen, respond, and draft correspondence with a clear, professional tone.
  • Coordinate and prepare for virtual and in-person meetings—agendas, minutes, presentations, and follow-ups.
  • Assist with strategic projects, research, and report preparation.
  • Serve as a gatekeeper and bridge for smooth communication between the CEO and teams/partners.
    Travel & Logistics Management:
  • Plan and manage complex domestic and international travel including flights, hotels, transportation, and itineraries.
  • Ensure timely arrangement and coordination of visa applications and compliance with travel policies.
  • Handle logistics for business and personal events, including meetings, conferences, and social engagements.
    Personal Assistance:
  • Oversee personal calendar management including appointments, family events, and special occasions.
  • Coordinate personal tasks such as household services, purchases, gift arrangements, and other ad hoc needs.
  • Manage personal finances, including expense reports and budget tracking.
    Administrative & Project Coordination:
  • Work on special projects assigned by the CEO, delivering high-quality outputs with minimal direction.
  • Maintain and organize digital files and documents in cloud-based systems (Google Drive, Dropbox, etc.).
  • Provide ongoing status updates and proactively identify areas where support may be needed.
    Requirements:
  • 5+ years of experience supporting C-level executives, preferably in a US-based technology or startup environment.
  • Proven ability to operate independently, anticipate needs, and take initiative without micromanagement.
  • Excellent understanding of US business practices, culture, and communication styles.
  • Proficiency with tools like Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms (Asana, Trello, Notion, etc.).
  • Superior written and verbal English communication skills with attention to clarity and tone.
  • Strong sense of discretion, confidentiality, and professionalism.
    Preferred Qualifications:
  • Experience supporting remote US-based executives or founders in tech/startups.
  • Familiarity with CRM platforms, social media management, or basic bookkeeping.
  • Comfortable navigating global time zones for scheduling and coordination.
