Job description: Job SummaryApplies knowledge about curriculum, requirements and educational activities to coordinate professional health education programs. Coordinates and maintains program operations, which may include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation.UCSF Medical Education seeks a Health Professions Education (HPE) Systems Specialist to join the Systems Team in the Office of Graduate Medical Education (GME). The HPE Systems Specialist will apply knowledge of GME, Residency Management Software (i.e. MedHub), GME policies, and Accreditation Council for Graduate Medical Education (ACGME) requirements to help the Office of GME support 200 training programs across 20 clinical departments through:
- Serving as the first point of contact for the GME Residency Management Software helpdesk to support users with questions related to the software and escalating inquiries to the HPE Systems Manager and other stakeholders as appropriate.
- Processing requests for access to systems maintained by the Office of GME in compliance with established guidelines and policies.
- Providing trainings and consultations for GME program staff, faculty, and other stakeholders to help them learn new functionality, optimize their usage of, and/or troubleshoot issues with the Residency Management Software.
- Aiding GME program leaders in maintaining compliance with UCSF policies relevant to data collection and analysis as well as ACGME requirements in their use of the Residency Management Software.
- Working with UCSF GME programs, in collaboration with the HPE Systems Manager and UCSF Health Finance Team, on projects related to cost center reporting.
- Ensuring program compliance and the accuracy of all schedule entries reported in the Residency Management Software monthly.
- Assisting in processes related to data collection, maintaining data integrity, and data reporting related to UCSF GME training programs to meet the needs of stakeholders.
- Collaborating with GME Accreditation Team on various projects.
- Applying knowledge and experience with additional technology and software platforms (such as Microsoft Excel, Smartsheet, Qualtrics, and others) to support the Office of GME.
- Bachelor's degree in related area and / or equivalent experience / training
- Minimum 3+ years of directly relevant experience.
- Thorough knowledge of administrative analysis and operations research. Demonstrated ability to develop and implement processes and systems. Thorough knowledge of the administrative and operational implications in a program.
- Demonstrated experience and documented excellence in oral and written communications skills; includes active listening and critical thinking.
- Strong interpersonal skills. Actively cooperates and supports the work of others. Ability to work productively with anyone regardless of background. Empathetic and aware of impact on others. Strong problem solving skills to assist learners and resolve issues.
- Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
- Thorough knowledge of educational software and platforms. Demonstrated ability to analyze and seek solutions to enhance the user experience.
- Thorough knowledge of data management, documentation methods used in investigating and presenting findings about the program. Skills include statistical analysis of data across databases and systems.
- Thorough knowledge of relevant policies and regulatory requirements. Solid knowledge of health professions education program requirements. Thorough knowledge of health professions education industry.
Expected salary: $83700 - 125600 per year
