Job description: PURPOSE
Job Summary: As the Director of Clinical Documentation, you will be responsible for overseeing and managing the medical transcription operations for iMedX. You will lead a team of transcriptionists, Quality Analysts, Workflow Team Leads and Manager, and ensure the accurate and timely delivery of transcribed documents to our 200+ clients. Your role will involve establishing and maintaining transcription standards, implementing efficient processes, and collaborating with various stakeholders to support high-quality healthcare documentation.
ORGANIZATION STRUCTURE
Reports to: Chief Strategy and Growth Officer
Direct Reports: Team Leads, Quality Assurance Associates, and Medical Language Specialists
- Key Responsibilities: * Leadership and Team Management:
- Provide strategic direction and vision for the medical transcription department & introduce Medical Scribe service line.
- Manage a team of transcriptionists, ensuring their professional development and performance management.
- Foster a collaborative and inclusive work environment that promotes productivity, efficiency, and employee satisfaction.
- Quality Assurance:
- Develop and implement transcription standards and guidelines to ensure accuracy, consistency, and adherence to industry regulations.
- Conduct regular quality audits to monitor the performance of transcriptionists and identify areas for improvement.
- Implement feedback mechanisms and provide coaching and training to enhance the quality of transcriptions.
- Workflow Optimization:
- Design and optimize efficient transcription workflows, leveraging technology and automation where applicable.
- Collaborate with other departments, such as medical records, IT, and clinical staff, to streamline processes and enhance productivity.
- Monitor and analyze transcription metrics to identify bottlenecks, implement solutions, and improve turnaround times.
- Technology and Tools:
- Stay up to date with advancements in transcription technology and software.
- Play a pivotal role in integrating various transcription platforms in the company and bring everyone on the same platform as far as technically possible and client is in agreement.
- Evaluate, select, and implement appropriate transcription tools to enhance efficiency and accuracy.
- Collaborate with IT teams to integrate transcription systems with other healthcare information systems, ensuring seamless data flow.
- Compliance and Data Security:
- Ensure compliance with relevant healthcare regulations, including HIPAA, to maintain patient confidentiality and data security.
- Develop and implement policies and procedures to safeguard sensitive patient information during the transcription process.
- Disclose any HIPAA violations found within the report to the Compliance Officer.
- Collaboration and Communication:
- Report on relationship health check with our clients and build on cross selling opportunities.
- Collaborate with healthcare providers, physicians, and other stakeholders to understand their documentation needs and address any concerns.
- Foster effective communication channels with internal and external partners to ensure smooth coordination and information exchange.
- Participate in cross-functional meetings and initiatives to represent the medical transcription & Scribe department's interests and contribute to organizational goals.

- Performs other job-related duties as may be assigned or required.
QUALIFICATIONS & SCOPE DATA:
- Education:
- Bachelor’s degree in business administration or related field required; or seven (7) or more years related experience and/or training; or equivalent combination of education and experience.
- Experience:
- Strong leadership skills, strong business acumen, exceptional communication, (verbal and written) and organizational skills required. Successful record of developing, maintaining and enhancing client relationships. Healthcare technology specific to transcription and coding experience preferred.
- Proven ability to lead a team and experience managing a remote workforce. Must be well versed in client interaction, budgeting and working with organizations across the enterprise. Excellent presentation, follow--‐up and negotiation skills are required.
- Minimum Qualifications:
- Minimum of three (3) years of supervisor experience in transcription or similar service industry.
- Mathematical skills including calculations and statistics
- Computer that meets the requirements of the position
- Means of communication, i.e., cell phone and/or land line with high--‐speed internet connection.
