Office Manager/Administrative Assistant/Receptionist Job description... Exciting and award-winning design firm is seeking an Office Manager/Administrative Assistant for our Avon, CO office. Front desk responsibilities include greeting visitors, answering phone, screening for spam calls, taking phone messages, checking voice mail and company emails, opening the office, making coffee. Proficiency in MS Word, MS Excel, MS Outlook, and Adobe Photoshop desired. Salary commensurate with experience. Additional duties include:  Pick up, distribute, and send all office mail & packages (FedEx, UPS, and USPS)  Coordinate large delivery receiving  Handle and reconcile petty cash  Document and deposit all received payments  Send reports to and assist Accountant with various tasks  Local errands as needed (pickups/drop-offs of project related materials)  Oversee all office supplies, equipment, and services (i.e. ordering paper, copier service, copier jams, maintenance service, landscape services, replacing chairs, setting up conference rooms, etc.)  Drop off office recycling weekly/bi-weekly  Maintain kitchen supplies, bi-monthly refrigerator clean, coffee  Coordinate travel arrangements and accommodations for principals and associates  Track conference room scheduling to prevent conflicts  Leading and documenting bi-weekly staff meetings  Organize and perform purchasing for all Office Events  Assist in managing and archiving physical project files  Coordinate with IT for office needs  Support Management/Principals with tasks on an as-needed basis  Collect and submit employee timesheets within specified deadlines  Track employee time-off schedules  Post and monitor job applicants  Oversee new hire orientation (prepare space for new employee, new hire paperwork, first day walkthroughs, answering questions)  Organize and maintain project files  Edit and track Owner-Architect and Architect-Consultant agreements  Edit project manuals and specifications Optional opportunities include: · Work with Photoshop for editing project images · Design and work on developing print/digital marketing materials (brochures, presentations, etc.) · Social Media postings on behalf of the Company · Update firm website on a recurring basis Benefits and Perks:  Full-time, hourly position  Standard holidays (New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Day)  Vacation  2 weeks per year, accrued on a quarterly basis (2.5 days per quarter) beginning at the first day of full-time employment  Emergency/Sick leave  6 days per year, distributed quarterly  Bi-monthly pay periods, payday on 7th and 21st of the month  Medical/Life Insurance  Contributory PPO plan with $25k life insurance  Profit Sharing  discretionary, up to 8% ZA contribution after first anniversary date, vesting begins first day of employment, 20% vested on Plan anniversary (12/31) following first employee anniversary date  Recreation Contribution - $450.00 per year after first year of employment  Opportunity to work 4  10hr days with Friday off (once per quarter) Ideal Candidate: · Highly organized · Innovative problem solver · Capacity for consistent social interactions · Motivated Self-Worker · Succeeds with flexible and dynamic work schedule, no two days are alike! · Naturally cultivates a positive office morale · Comfortable lifting 40lbs, unassisted (i.e. 1 box of office paper) Please submit resume to [email protected] or Zehren and Associates, PO Box 1976, Avon, CO 81620.
