Operations & CRM Manager – System Flow, Task Management, and Quality Control

We're looking for a proactive, detail-oriented Operations Manager to join our remote team. This role is ideal for someone who thrives in a structured environment, loves improving systems, and ensures no task falls through the cracks. You'll manage our internal workflows, oversee communications, keep our CRM in top shape, and make sure our team and customers stay informed and supported. Key Responsibilities: Inbound Management CRM Ownership (Zoho Suite) Maintain clean, accurate records in CRM Manage task queues Monitor task flows using CRM tasks and collaborative quote/order tracking sheets Operational Flow & Task Oversight Ensure team tasks move smoothly through CRM and are delegated to the correct sales reps Track and flag any quote/order issues or pending items Act as point-of-contact for resolving open operational questions (via phone or Cliq) Documentation & SOP Updates Learn our workflows and ensure that documentation is up-to-date Identify process gaps and propose workflow or SOP updates Customer & Team Support Respond to customer inquiries, send out quotes/sales orders Make occasional outbound calls to clarify issues with customers or internal staff Answer phone calls via RingCentral (desktop app) Accounts Receivable Coordination Help manage A/R tasks and route financial follow-ups to appropriate sales teams Requirements: Excellent written and verbal communication skills experience with Zoho Suite (CRM, Cliq, Sheets, Writer) Strong organizational skills and attention to detail Comfortable speaking with customers and team members by phone or chat Able to learn and manage systems quickly with minimal hand-holding Bonus: Experience documenting SOPs or working in a systems/process-oriented operations role.
