Virtual Assistant for Boutique Bookkeeping & Tax Firm (Part-Time with Growth Opportunity)
Job Type: Part-Time (10–20 hours/week to start)
Location: Remote (U.S.-based only)
Compensation: $20-$30/hour, based on experience
About Us
We’re a boutique bookkeeping and tax strategy firm that helps small business owners simplify their finances and save money through proactive support. As our client base grows, we’re looking for a trustworthy, detail-oriented Virtual Assistant to join our team.
This role is ideal for someone who thrives behind the scenes, loves structure and organization, and is open to learning about bookkeeping and tax processes over time.
Key Responsibilities
Maintain and update our client management system (emails, notes, task assignments, document organization)
Assist with scheduling and calendar management for client calls and internal deadlines
Help prepare and send monthly deliverables (such as reports, summaries, task reminders)
Ensure all processes follow IRS Circular 230 standards for confidentiality and client data protection
Communicate clearly and professionally with both team members and clients
Support the founder with various administrative and light operational tasks
Required Skills & Qualities
Must be a U.S. resident with authorization to work in the United States
Strong attention to detail and discretion
Familiarity with (or willingness to learn) IRS confidentiality standards and PII protections
Excellent organizational skills and comfort with tech systems (CRMs, task managers, cloud drives)
Clear written and verbal communication
Proactive and self-managed
Willingness to grow into bookkeeping and/or tax-related tasks over time
Great If You Have Experience With:
Bookkeeping or tax preparation
Client management tools (e.g., Notion, ClickUp, Karbon, Dubsado, etc.)
Secure file handling and email management
U.S.-based small business operations
