Position Overview:
We are seeking an experienced and detail-oriented Real Estate Legal Assistant to join our dynamic Residential Real Estate team. The ideal candidate will provide comprehensive administrative and transactional support throughout the real estate closing process. This role requires excellent coordination skills, familiarity with multi-state transactions (particularly in New England and New York), and a high level of professionalism in client and partner communications.
Key Responsibilities:
· Support the Residential Real Estate Team in preparing, amending, and reviewing title documents.
· Conduct title research using all Massachusetts Registry of Deeds websites.
· Coordinate closely with paralegals, attorneys, and real estate agents to ensure accuracy and timeliness of closing documents and deadlines.
· Maintain and manage multiple lender files for purchases and refinances across various states, with a focus onNew England and New York.
· Assemble and complete title packages for borrowers and work with lenders and borrowers on necessary changes or corrections through closing.
· Communicate with title insurance underwriters to resolve title issues and defects.
· Contact municipal offices (e.g., tax collectors, assessors) to obtain property tax information, address lien issues, and secure necessary releases.
· Prepare and review legal documents for closings including deeds, powers of attorney, name/address affidavits, and others.
· Coordinate with attorneys and real estate agents to obtain all required documents for closing: final utility bills, commission statements, 6D certificates, Smoke Certificates,andmortgage/lien payoffs.
· Ensure prompt and professional communication by phone and email with clients, lenders, and third parties
· Build and maintain strong relationships with clients; keep them informed throughout the transaction and address concerns with clarity and care.
· Accurately maintain client files and databaseswith up-to-date records and communications.
Qualifications:
· 2+ years of experience as a legal assistant, preferably in residential real estate law.
· Solid understanding of the real estate closing process and title work.
· Familiarity with Massachusetts real estate practices and Registry of Deeds websites.
· Experience handling multi-state transactions, particularly in New England and New York.
· Strong working knowledge of Microsoft Office Suite and closing software such as Qualia, E-Closing, or similar.
· Excellent organizational skills attention to detail, and ability to manage multiple files under strict deadlines.
· Strong written and verbal communication skills.
· Ability to work both independently and as part of a collaborative legal team.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
