Remote Executive Assistant (Real Estate + Pilates Studio + Personal Admin) Location: Remote (Must work U.S. Pacific hours) Compensation: $400–$700/month USD, paid bi-monthly, based on experience About Us We are a husband-and-wife entrepreneurs based mostly in California (75%) and Europe (25%). Our work spans real estate investment and property management, a new Pilates studio launch, and day-to-day personal administration. We need an executive assistant who is not just an order-taker, but someone who builds structure, finds solutions, and reduces the mental load across our businesses and lives. What You’ll Do Administrative Operations • Organize Google Drive, documents, records, and email accounts • Handle admin tasks like DMV renewals, passport/visa tracking, insurance claims, bills, etc. • Schedule and coordinate vendors, repairs, or appointments with Gmail Calendar scheduling. • Review and optimize personal and business systems Real Estate & Property Management • Communicate with tenants via email, text and Tenant Portal • Track maintenance schedule, rent payments, deposits, and lease updates • Maintain organized documentation for each property. • Suggest new or implement better systems/tools for operations Pilates Studio Support • Get familiar with the Mindbody software and support its implementation • Assist with class scheduling, records, and teacher coordination • Research marketing options (e.g. local mailers, flyers, email tools) • Track studio maintenance, licenses, and paperwork and general compliance. Personal Life Management • Review credit card statements, travel itineraries, and loyalty programs • Organize personal digital life: files, passwords, receipts, records • Flag expiring documents, insurance issues, or urgent deadlines • Occasionally research gift ideas, services, or bookings Independent Problem Solving • Operate with minimal instructions—think like a chief of staff • Use ChatGPT or similar tools to find solutions on your own • Bring suggestions or improvements without being asked • Build structure in areas where none exists What We’re Looking For Must-Have Skills • Outstanding written and spoken English • Advanced proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail) • Organized, self-motivated, and resourceful • Fast learner, able to teach yourself software and workflows • Previous experience in admin, operations, or support roles • Able to work independently and adapt to unstructured environments Bonus Skills (Nice to Have) • Experience with real estate or property management • Understanding of U.S. business and household workflows • Marketing experience (flyers, email campaigns, design tools) • Comfortable using ChatGPT and/or curious to explore AI tools Work Setup Requirements • Availability during U.S. Pacific Time business hours • Reliable, high-speed internet • A quiet and professional remote work environment • Your own computer What Success Looks Like • You reduce the number of things on our plate • You take ownership of recurring tasks and one-off projects • You think critically and propose improvements • You treat the role like a partner in operations—not just a task follower • You would be interested in taking on more responsibility and grow along our businesses (not mandatory) Job Types: Full-time, Part-time, Contract Pay: $400.00 - $650.00 per month Expected hours: 15 – 30 per week Benefits: • Flexible schedule Schedule: • Choose your own hours • Monday to Friday Work Location: Remote Apply tot his job Apply tot his job Apply To this Job
