Executive Assistant / Chief of Staff (Virtual/Remote)

We’re seeking a trusted Executive Assistant / Chief of Staff to serve as the backbone of a high-performing, fast-moving business. This is not a back-office support role — it’s a leadership partnership that allows Shari to focus on advising senior executives and creating transformational content while you ensure every detail, system, and relationship is cared for.
What You’ll Do
Operational & Executive Support
• Own the CEO’s calendar, time blocking, and travel — aligning commitments with true priorities.
• Anticipate needs before they arise and proactively solve problems.
• Manage logistics for workshops, keynotes, virtual programs, and two podcasts.
• Book and manage travel (flights, hotels, ground transport) and ensure points/miles are maximized.
• Prepare detailed itineraries, briefing docs, and prep notes for external meetings.
• Monitor and triage inboxes (email, LinkedIn, text) and draft professional responses in Shari’s voice.
• Maintain organized digital systems (Google Drive, Dropbox, Asana).
Project & Team Management
• Track tasks and deliverables across the team using Asana — ensuring nothing falls through the cracks.
• Provide clear weekly updates summarizing progress, risks, and next steps.
• Follow up with team members, clients, and vendors with diplomacy and accountability.
• Coordinate external vendors (design, transcription, travel, tech support) as needed.
• Support marketing by coordinating podcast guest assets and ensuring timelines are met.
Client & Personal Support
• Liaise with speaking bureaus, client assistants, and event partners with professionalism and warmth.
• Ensure client deliverables are tracked and deadlines met.
• Schedule/manage personal appointments and coordinate with property managers for three properties.
• Arrange occasional reservations, deliveries, or errands during travel or event prep.
• Oversee sensitive matters such as personal data security and confidentiality.

• Discreet and trustworthy, handling confidential matters with care.
• Growth-minded and excited to learn new systems, tools, and approaches.
• Experience in the speaking or training industry a HUGE plus.
Benefits & Compensation
Compensation: $75K–$110K base range to start, (or commensurate hourly pay), with additional bonus opportunities. We believe in rewarding excellence and growth — as the role expands, so will your opportunities for impact and compensation. This position can be structured as either an employee or an independent contractor, depending on your preference.
