Remote Administrative Assistant (Full-time)
We are seeking a highly skilled and organized Remote Administrative Assistant to join our team at a nationally recognized NCI Designated Cancer Center, part of a prestigious Pac-12 school. As a key member of our administrative team, you will provide complex administrative support to various labs and shared resources cores, working closely with researchers and faculty members to ensure their success.
This hybrid role offers a mix of in-office and remote work, with a current expectation of 3 days in-office and 2 days remote per week. Responsibilities:
- Provide high-level administrative support to the Director and Research Informatics Shared Resource team, including grant pre- and post-award support, accounting, and human resources functions
- Assist with preparation of progress reports, software development team efforts, and event coordination
- Serve as liaison to the Legal Department, HR, and Research Administration departments, ensuring compliance with HIPAA and other training requirements
- Manage staff time cards, scheduling, purchasing, hiring, travel, and other requests as needed
- Assist faculty with grant applications, including updating Biosketches, Other Support pages, and Letters of Support
- Review financial accounts, maintain complex salary distributions, and assist with department/lab budget development
- Provide administrative support to upper-level department management, including scheduling appointments and coordinating meetings
Requirements:
- Associate degree in business or equivalent (2 years related work experience may be substituted for 1 year of education)
- Three years of full-time secretarial experience
- Demonstrated human relations and effective written and verbal communication skills
- Knowledge of basic bookkeeping practices and direct supervisory experience preferred
Work Environment:
Nearly continuously in an office environment, with frequent interruptions and changes in priorities. Physical requirements include sitting, hearing, listening, and talking, with occasional repetitive hand motion, walking, bending, and reaching overhead.
