Sales Administrative Assistant (Part Time) - The HR Team - Maryland - work from home job Company: The HR Team Job description: Port Discovery Children's Museum provides experiences that ignite imagination, inspire learning, and nurture growth through play. We are currently looking for a friendly and outgoing Sales Administrative Assistant, with strong attention to detail and communication skills, to actively assist in the sale of the museum to groups, both school and non-school organizations. As part of the Sales team, the Assistant is responsible for providing exemplary, accurate and efficient service for all museum groups through the reservation and visit process. This position offers 25 hours per week. There is flexibility regarding the days and hours worked, however, 1) the schedule must include Fridays and 2) the schedule must be consistent each week. Starting pay rate for this position is $17.00 per hour. Port Discovery is seeking individuals who are: • Energetic and friendly • Accurate and detailed • Calm under pressure and have excellent communication skills Required Qualifications: • A minimum of 2-3 years of experience in sales, administration and clerical duties, cash handling, and excellent customer service. • Customer service focused. • Possess clear and concise written communication skills. • Experience working with education professionals is a plus. • Possess strong communication skills including public speaking, proper telephone etiquette, and interpersonal communication. • Excellent multi-tasking, organizational, and data entry skills with high attention to detail and accuracy. • Experience in Microsoft Office Suite and Zoom required. • High School Diploma or equivalent required. • Must be 18 years of age and able to pass a criminal background check. List of Responsibilities (not exhaustive): • Displays a professional and inviting customer experience to ensure their needs are reasonably met. • Supports the Sales Department by answering calls, managing email responses, data entry for Sales, and conducts routine database cleaning. • Effectively provides written communication to address event details and expectations electronically. • Delivers punctual correspondence for inbound and outbound sales inquiries for group reservations, party contracts, member enrollment, event date reminders and notification information electronically and/or telephonically. • Maintains an accurate account of both virtual and in-person customer visits and interactions to ensure compliance of museum capacities. • Accurately processes payment submissions and stores signed agreements in its designated location. • Meets and/or exceeds goals for sales revenue including but not limited to cold calling, email campaigns, large mailings, and attendance at offsite events. • Supports birthday parties, and/or memberships during slow season or school holiday breaks entering reservations, member enrollment, emailing contracts, sending event notifications and payment reminders. • Supports Box Office with general admission sales during slow season or holiday breaks. Physical Demands & Work Environment: This is a largely sedentary role. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. This position requires fine dexterity for computer keyboard and calculator usage. The employee is regularly required to communicate professionally in person, over the telephone, through email and other electronic mean. The employee occasionally is required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The work week is typically Monday through Friday, but flexibility in scheduling is needed for special events, requiring some evening and weekend work. The noise level in the work environment is usually moderate. Remote work is unlikely in this position given the need to access software only available on-site.
