We are seeking a talented individual to join our Tax team at Marsh McLennan. This role will be based in New York City, and it is a hybrid role with a requirement of working at least three days a week in the office.
As a Project & Administrative Coordinator, you will play a vital role in supporting the successful execution of Tax projects and departmental operations. You'll manage project timelines, facilitate effective communication, and oversee administrative functions, all while fostering a collaborative and organized work environment. We will count on you to:
- Coordinate and support the successful delivery of Tax projects by managing timelines, documentation, and budgets, including purchase orders, vendor invoicing, expense reconciliations, etc.
- Coordinate project meetings, including scheduling, agenda preparation, and minute-taking
- Maintain project calendars, ensuring all team members are informed of key dates and deadlines
- Keep a track record of Tax projects to report on periodic progress and updates
- Maintain clear and accessible project files and records for efficient team collaboration
- Facilitate effective communication and collaboration among team members and external stakeholders to ensure accurate information sharing
- Assist project managers in creating presentations and reports for project updates and stakeholder meetings
- Oversee departmental administrative functions to ensure smooth operations, including managing calendars for team-wide events and key activities
- Organize and coordinate departmental meetings, including logistics, materials, and technology setup
- Manage and update departmental files, records, and databases for easy access and organization
- Support the end-to-end hiring and onboarding process for temporary staff and interns, providing ongoing guidance
- Collaborate with the Finance Internship Program team to include Tax interns in company-wide learning sessions, supporting their professional development
What you need to have:
- Associate’s degree or higher
- 5+ years of relevant experience
- Proven experience in an administrative coordinator role, preferably in a fast-paced environment
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Strong attention to detail, ensuring accuracy in all aspects of work
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Effective communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability
- Strong problem-solving skills, with the ability to anticipate and address potential issues proactively
